We are seeking an organised, proactive, and detail-oriented Office Administrator to provide administrative and coordination support to our Design and Engineering Division in Perth. This role is key to ensuring smooth day-to-day operations, effective communication, and efficient workflow within the team.
The Role
- Provide administrative support to the Design and Engineering leadership team, including scheduling meetings, preparing documents, and managing correspondence.
- Maintain and update project documentation, registers, and databases in line with company standards.
- Coordinate travel bookings, accommodation, and itineraries for team members as required.
- Assist in onboarding new staff, including preparing induction materials and ensuring compliance with company policies.
- Manage office supplies, equipment, and general facilities requirements for the division.
- Assist in preparation of reports, presentations, and tender documentation.
- Support timesheet submissions, expense claims, and invoice processing.
- Ensure all administrative processes align with Civmec’s safety, quality, and confidentiality standards.
About You
To be successful in the role you will possess the following:
- Previous experience in an administrative or office support role, ideally within an engineering, construction, or industrial environment.
- Certificate III or IV in Business Administration (desirable but not essential).
- Valid driver’s licence.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organisational and time-management skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in document preparation and data entry.
- Ability to work both independently and collaboratively within a fast-paced team environment.
- Knowledge of document control systems will be highly regarded.
